Job Overview

We are looking for a self-motivated independent worker, who has a strong sense of initiative and is highly organised. An interest in design is a must and a want to be involved in all areas of the business, you must have an excellent knowledge of MS Office package and windows and Apple products. Adobe Photoshop and Mail Merge would be a bonus. As you will be dealing with high end clients you will need to have a smart appearance with a highly professional manner coupled with a friendly, helpful attitude and sunny disposition. Full driving license is preferable.

 

Duties include:

PA Duties:

  • Acting as first point of contact: dealing with correspondence and phone calls.  Screening calls, enquiries and requests and handling them when appropriate. Drafting and sending correspondence on behalf of the company.
  • Organising and maintaining the MD’s diary. Making appointments both business and personal.
  • Arranging and booking travel, transport, visas and accommodation both business and personal.  Creating travel itineraries.
  • Management of the company’s properties – both UK and international, duties including insurance, service charges, utility bills, tenants (where necessary), cleaning and other matters related to the properties.
  • Organising events, including annual Christmas and Summer party and other social events
  • Liaising with the team, suppliers and clients
  • Collating, filing and paying expenses including credit cards
  • Handling personal administration for Alidad such as parking permits, car and medical matters etc.

Office Administrator Duties:

  • Answering phones and greeting clients, suppliers and visitors to the studio
  • Setting up the meeting room for client and external meetings
  • Arranging and booking travel for the office
  • Ordering office supplies
  • Maintain company database

  • General office duties

Client Projects:

  • Raising monthly project invoices and weekly reports to Clients, keeping track of job sales spreadsheet
  • Running all PR correspondence, liaising with various journalists and keeping PR spreadsheet up to date
  • Tracking proformas and chasing VAT invoices.
  • Client emails in regards to late payments / statements drawn up when necessary
  • Processing project invoices and any other related project expenses
  • Maintaining uploaded project invoices are paid in a timely manner
  • Project supplier emails in regards to invoices and statements
  • Maintaining hardcopy project invoices in the office folders and digital copies to correspond in DropBox.
  • Procurement – chasing project deliveries and cross checking bank statements against project charges
